This position directly supervises Westminster Mentors (Youth Development Professionals) and ensures they are prepared, engaged, and effectively facilitating programs and building meaningful relationships with members.
The Program Director is expected to know our members, understand their interests, take initiative in identifying opportunities for improvement, and continually introduce engaging, high-yield experiences that make young people want to come to the Club and stay involved. PRIMARY RESPONSIBILITIES PROGRAM DESIGN & MEMBER ENGAGEMENT • Design and maintain a diverse schedule of daily activities, enrichment opportunities, and rotating clubs for elementary, middle, and high school members. • Develop programming based on member interests, developmental needs, participation trends, Mentor talents, and available Club resources. • Regularly engage with and observe members to understand what they enjoy, what they want to try, and what would strengthen their Club experience. • Manage the full program cycle: identify the idea → plan → prepare → staff → implement → observe → assess → improve. • Ensure activities are fully prepared before program begins, including supplies, room setup, technology, instructions, staffing, and materials. • Coordinate purchasing and preparation of program supplies and ensure resources are available when needed. • Monitor participation and retention, recognize when programming is becoming stale or ineffective, and proactively develop and implement improvements.
MENTOR LEADERSHIP & ACCOUNTABILITY • Directly supervise, coach, support, and hold accountable Westminster Mentors (Youth Development Professionals). • Establish clear daily staff assignments and ensure Mentors understand where they are assigned, what they are facilitating, and what is expected of them. • Match Mentor interests, talents, and skills with programming opportunities whenever possible. • Actively monitor Mentors during Club hours to ensure they are engaging members, facilitating activities, supervising appropriately, and meeting Club expectations. • Provide immediate, on-the-spot coaching and feedback when expectations are not being met. • Communicate recurring or significant staff concerns to the Senior Program Director and partner on appropriate performance follow-up. • Foster a staff culture centered on initiative, relationships, accountability, teamwork, and high-quality youth development.
PROGRAM IMPLEMENTATION & CLUB LEADERSHIP • Translate Westminster priorities established with the Senior Program Director into daily schedules, staffing plans, activities, and implementation. • Ensure BGCA and grant-funded programs occur as planned with appropriate staffing, materials, space, preparation, and member participation. • Collaborate with Program Coordinators responsible for specific initiatives, such as Power Hour and other BGCA/grant-funded programs, to integrate their work into the overall Club schedule. • Monitor implementation throughout the building, identify challenges, and take initiative to address barriers before they interfere with program quality. • Maintain an active leadership presence during Club hours and assist with member behavior, transitions, supervision, and other day-to-day needs. • Communicate professionally with families regarding member behavior, incidents, participation concerns, or other Club matters when appropriate. • Support special events, seasonal initiatives, and cross-department programming in collaboration with the Senior Program Director and other BGCCC leaders.
SUMMER PROGRAMMING • Collaborate with the Senior Program Director in the planning and implementation of summer programming for youth ages 6–18. • Support Summer Camp programming, staff coordination, enrichment opportunities, teen leadership initiatives, and other Westminster-based summer experiences. • Adapt responsibilities throughout the year based on seasonal programming and Club needs. SUCCESS IN THIS ROLE The Program Director is successful when members have engaging programs they genuinely want to participate in, activities are prepared before youth arrive, Mentors know what is expected and receive regular coaching, required programs happen consistently, families receive appropriate communication, and programming continues to evolve based on what members need and enjoy.
The Program Director is expected to notice challenges, take initiative, bring forward solutions, and continually look for ways to make the Westminster Club experience better. SCHEDULE Regular hours are Monday–Friday, 10:15 a.m.–6:15 p.m. Some evening or weekend responsibilities are required for special events, family activities, teen programming, trainings, or other organizational initiatives.
